Nine Elements You’ll Need To Successfully Manage And Complete Any Project


Every business project is unique and will likely require a customized approach to manage it. No matter the size or scope of the project, though, all team members must work together to ensure each moving part is in place.

Being on the same page is crucial to the overall success of a project, and it’s up to the leader or project manager to keep their team moving forward toward their shared goal. To help you do this, nine members of Young Entrepreneur Council explained the most important elements that you’ll need for the successful completion of your project.

1. Constant, Uninhibited Communication

Constant, uninhibited communication will break down all walls. Project management, no matter how large or small the scope, relies on our ability to communicate effectively. Communication is made up of three essential parts: the sender—the person delivering the information; the receiver—the person or group who ingest the information; the results, which is self-explanatory. As leaders, it is our responsibility to understand the language of our teams and communicate accordingly. We must understand the three parts of communication—sender, receiver, result—and apply the mindset that if we aren’t getting the results we want we must look at the sender. 2. Preparation

Preparation is key with any new endeavor, but it is imperative for success as a project manager with new projects. For me, preparation means organizing any information about the new project I have received, creating a proper game plan, laying out a thorough schedule and delegating certain tasks to my team. 3. Clear Direction

When it comes to project management, one thing that can ensure seamless completion of the project is clear direction given to the team. Whenever you assign a project, the instructions need to clearly explain the task and what steps need to be done to complete it. Unclear direction can cause a lot of confusion for the team, with misunderstandings of what needs to be done and how it should be done. This can often lead to projects never being completed or not fulfilling their intended purposes. – Bryan Driscoll, Motivated Leads

4. A Discovery Phase

The key to getting your project done on time is the discovery phase. The discovery phase serves as a bridge between the theoretical product concept and its technical implementation. During the discovery phase, the team identifies customer, end user and stakeholder needs as well as product strengths and weaknesses. Thus, the discovery phase allows most risks to be worked through before work begins, greatly reducing the likelihood of not meeting the deadline. – Maksym Babych, SpdLoad

5. Trust In Your Team

For effective project management, it’s important for managers not to micromanage. This has proven to lead to less productivity and higher stress levels among employees. If you don’t trust their abilities, neither will they, and it’ll show in their work. For the best outcome, give your team the room to grow and prove their skills. 6. Regular Tracking

Make sure that items are on track and note if challenges occur during any process. Be transparent with the client and the team and keep them in the loop at all times so the challenges can be handled properly with any necessary adjustments. Regular tracking also creates a sense of urgency for the team if things are falling behind schedule. 7. A Realistic Timeline

Make sure projects are finished on time. It’s surprisingly easy for projects to lag, go over budget and get diluted from their original goal. It’s essential to keep the project within realistic timelines so people don’t lose focus and passion for the project. If the team views the project as unwieldy, they can become overwhelmed and disheartened. If the team understands the schedules, deadlines and tasks before the project launches, they will be more likely to stay focused and accountable. It will also be easier to identify red flags before it’s too late to change course. Be proactive enough to sense when things are getting off track and implement contingency plans. 8. A Simple Process

Keep things simple. As wonderful and collaborative project management tools and techniques are, it’s easy for them to become confusing. Make sure that you use the tools you have to create simple workflows that everyone understands. Avoid giving in to the desire to use all the features available and to connect tasks and projects in ways that only you understand. If a project management tool gives people a simple calendar or task view of the jobs they have to do and allows collaborators to track work, it’s more than enough. Make sure that you strip all the unnecessary steps and that your team knows where to find the info they need and how to use your tools. 9. Attainable Goals And Objectives

While it seems obvious, I can’t emphasize enough that you should create goals and objectives that work for everyone. This means that you shouldn’t assume what the right goals are for your entire team. Instead, sit down with them and ask them for feedback on what their objectives should be. When you get advice from your team members, you learn new things and create realistic goals. Remember that metrics that make sense for your content team may not work for your sales staff. Getting feedback and creating appropriate goals for different people and teams creates the best chance for you to complete a project with as few hitches as possible. – Blair Williams, MemberPress
